Vannin Chief of Staff has been retained by a Los Angeles-based environmental services company that is positioned for significant growth over the next 2 years.
Our client is seeking a Chief of Staff to join our team during a transformative growth period. This newly created position will report directly to the CEO while supporting the entire leadership team as a facilitator and force multiplier. You'll help implement our operational framework, improve follow-through on strategic initiatives, and facilitate our company's scale-up journey.
This is the company's first Chief of Staff position, created to amplify our leadership team’s capacity and drive momentum for strategic initiatives. This role is for a facilitator capable of holding teams and individuals accountable against growth goals, managing complex strategic projects, and supporting the fast-paced growth across the organization.
This individual will be instrumental in helping us implement the Entrepreneurial Operating System (EOS) framework, driving special projects forward, and facilitating the company's transition from the upper end of a small company into a midsize company. The ideal candidate is a proven leader with a blend of strategic, operational, project management, and leadership skills. We're looking for someone with a high EQ who embodies our definition of "care" - which includes trust, accountability, and delivering results. Additionally, this person should possess exceptional attention to detail, initiative, and critical thinking skills. This is a full-time, exempt position based onsite in Los Angeles, California (Boyle Heights area).
Responsibilities
Executive Leadership Support
Assist the CEO in day-to-day operational management of the business and ensure the CEO's priorities are being effectively executed
Own prioritization and execution of key company strategic initiatives by partnering with the executive team (CEO, Pres/COO & SVP) and internal management/leadership team (8 team members)
Enhance the effectiveness of key meetings by setting effective agendas and driving high-quality content and output, including preparation and meeting follow-ups
Support the implementation of the Entrepreneurial Operating System (EOS) framework, with the CEO as the Visionary and President/COO as the Integrator
Drive collaboration and accountability across teams for individual and joint projects
Prioritize actions across the organization to ensure alignment and progress
Operations and Project Management
Support the development and implementation of scorecard success metrics and KPIs. Monitor key metrics and flag areas of concern
Own and continuously improve company operating cadence
Seek areas for improvement and innovation to make the overall business run more smoothly and drive growth
Support the implementation of the new ERP system, transitioning from a legacy UNIX system to cloud-based systems
Lead documentation of SOPs and initiate process standardization efforts
- Manage special projects, to potentially include:
Website redesign and social media initiatives
Office moves and facility updates
Computer system implementation and Office 365 migration
Creating administrative systems and processes
Champion the development of new processes and systems as the company scales
Communications
Coordinate communications between leadership and the broader organization
Prepare and develop executive presentations for internal and external use
Manage stakeholder communications and reporting
Support community engagement initiatives
Recommended Minimum Qualifications
5-8+ years of experience in management consulting, operations, or a Chief of Staff/business operations leadership role
Strong project and change management expertise
Demonstrated analytical and problem-solving capabilities
Excellent written and verbal communication skills
Proficiency with modern business software and collaboration tools
Bachelor's degree required
Preferred Skills & Attributes
Understanding of environmental services, hazardous waste management, or related industries is a plus
Experience with companies transitioning from 50-100 employees
Experience with systems and processes implementation in growing organizations
Experience with Office 365 implementation and other cloud-based platforms
Proven ability to juggle multiple projects and meet tight deadlines, showcasing strong ownership, organizational, and time-management capabilities under pressure
Skilled in professional and diplomatic written and verbal communication, capable of engaging effectively with a diverse range of internal and external stakeholders with high executive presence
Self-starter and self-motivated with a proactive approach to identifying breakdowns and converting them to breakthroughs
A natural curiosity to learn more about AI automation and data trends
A mindset that balances quality with a sense of urgency
Leadership style that emphasizes care, collaboration, accountability, and servant leadership
Compensation Range: Base salary range: $130,000 - $160,000 USD annually + performance-based incentive program

What to Expect from Our Selection Process:
We are seeking passionate operators who possess the ability to move from strategy to tactical smoothly to join our leadership team. Our selection process is designed to assess the whole candidate and foster a mutual match for you and us. The process includes:
- Vannin Chief of Staff Screening: 15 minute phone interview & 30 minute video interview
- Initial 1 hour interview with the CEO
- Second round (2-hour) panel interview with the CEO, President/COO, and SVP of Sales, including a case study
- Third round (1 hour) panel interview with 5 managers for a group discussion
